Task: Execute Knowledge Exchange Plan
The Knowledge Exchange must be executed as planned with the identified SMEs and Knowledge Exchange Recipients. It is recommended to capture and document all important information exchanged during the sessions for future reference / use and store it in a common repository.

It is the onus of Knowledge Exchange Lead  to execute Knowledge Exchange as planned. Detailed event plans must be created, documented into the Knowledge Exchange Plan and communicated to all parties to assist managing  the Knowledge Exchange sessions. Typically, extensive information is exchanged during Knowledge Exchange as a part of presentations, training, work shadow sessions and discussions. It is important that this information is captured and documented for future reference and use in day to day activities.

 

As a part of Knowledge  Exchange, teams receiving knowledge must obtain a list of key documents from SMEs that need to be studied  before the sessions or presentations. Document quality information must also be requested  to gather if the document would benefit from updating, modification or enhancement. The Knowledge Exchange Recipients must document and communicate queries and have them addressed by SMEs before or during the sessions. The Knowledge Exchange Recipients must consider updating existing documentation as well as creating new documentation with the information obtained during these sessions.

 

Knowledge Exchange Lead must ensure these sessions are recorded and recordings are made available to all relevant stakeholders and  archived for future reference.  Many Knowledge Exchange sessions involve Knowledge Exchange Recipients watching the SME perform a task. These tasks can be broken down in to individual steps and recorded in a document known as a work instruction for future reference.

 

After each work shadow session, the Knowledge Exchange Recipients must document the key concepts taught during the work shadow session in order to:

 

  • Reinforce what was learnt during the session through repetition of key points
  • Have the understanding of the material covered assessed by the SME for accuracy and completeness and adjust future training events as necessary.

 

This may also be used for progress tracking by the Knowledge Exchange Lead. The Knowledge Exchange Recipients must update the documents as per review feedback and publish the final document in the document repository.

Conflicts in Knowledge Exchange, if any, must be immediately taken up by Knowledge Exchange Lead for resolution and escalation  to the relevant stakeholders.
